1. Statement of Commitment
Truck Jam is committed to safeguarding and promoting the welfare of children and young people. Although this is a parent/carer supervised stay & play session, we recognise our duty of care to provide a safe, welcoming, and secure environment for all families attending.
We aim to:
- Provide a safe and stimulating play environment
- Promote the welfare of children at all times
- Work in line with UK safeguarding legislation and guidance, including:
- Children Act 1989 & 2004
- Working Together to Safeguard Children (HM Government)
- The Early Years Foundation Stage (EYFS) safeguarding principles (where applicable)
As we are based in Hampshire, safeguarding concerns may be reported to Hampshire Childrenβs Services if required.
2. Nature of the Setting
This is a stay & play group:
- Children remain the responsibility of their parent/carer at all times.
- Parents/carers must remain on site and supervise their child(ren).
- The playgroup facilitator does not provide childcare.
- Payment is for access to equipment, setup, and facilitated play experience.
We specialise in:
- Hot Wheels car tracks and vehicles
- Monster Jam monster trucks
- Themed play sessions involving cars, tracks, and racing activities
3. Responsibility for Safeguarding
The Designated Safeguarding Lead (DSL) is:

The DSL is responsible for:
- Responding to safeguarding concerns
- Recording concerns appropriately
- Making referrals where necessary
- Ensuring safe practices within the playgroup
4. Supervision & Ratios
- All children must be accompanied and supervised by a responsible adult (18+).
- No child may be left unattended at any time.
- If a parent/carer needs to leave (e.g., toilet), they must take their child with them or ensure another named adult takes responsibility.
5. Health & Safety
We are committed to providing a safe physical environment by:
- Ensuring equipment is age-appropriate and regularly checked
- Setting up tracks and play zones to minimise trip hazards
- Keeping walkways clear
- Carrying out visual safety checks before each session
- Maintaining appropriate public liability insurance
- Keeping a first aid kit available at all sessions
Parents/carers are responsible for:
- Ensuring their child uses equipment safely
- Stopping unsafe behaviour
- Informing the organiser of allergies or medical conditions
6. Safe Use of Equipment (Cars, Tracks & Trucks)
Due to the nature of toy vehicles and track systems:
- No throwing cars or trucks
- No climbing or standing on track setups
- Younger siblings must be supervised around small parts (choking hazard risk)
- Broken toys must be reported immediately
Any unsafe behaviour may result in a verbal warning. Continued unsafe behaviour may result in being asked to leave without refund.
7. Photography & Social Media
To protect children:
- Parents may photograph or film their own child only.
- No photographing or filming other children without explicit parental consent.
- The organiser may take photos for promotional purposes only with written consent.
- No childβs full name will be shared on social media.
If any adult is seen photographing children who are not their own without consent, they may be asked to delete images and/or leave.
8. Safeguarding Concerns
Although this is not a childcare setting, if the organiser:
- Witnesses a child being harmed
- Receives a disclosure from a child
- Observes signs of neglect or abuse
The DSL will:
- Remain calm and listen
- Not promise confidentiality
- Make a factual written record (date, time, exact words used)
- Contact Hampshire Childrenβs Services or the NSPCC for advice if required

9. Managing Allegations Against Adults
If an allegation is made about:
- The organiser
- A volunteer
- Another parent
The concern will be taken seriously and recorded.
Where appropriate, advice will be sought from:
- Hampshire Local Authority Designated Officer (LADO)
- Hampshire Childrenβs Services
Immediate action may include asking the adult to leave the session.
10. Code of Conduct for Adults
All adults attending must:
- Treat all children with respect
- Use appropriate language at all times
- Not use physical punishment
- Not be under the influence of drugs or excessive alcohol
- Follow health & safety guidance
Anyone behaving inappropriately will be asked to leave.

12. Complaints Procedure
If a parent/carer has a concern about safety or safeguarding:
- Speak directly to the organiser.
- If unresolved, concerns may be escalated to Hampshire Childrenβs Services.
All complaints will be recorded and responded to promptly.
13. Data Protection
Any personal information collected (booking forms, emergency contacts, photo permissions) will:
- Be stored securely
- Only be used for playgroup purposes
- Not be shared without consent unless safeguarding requires it
14. Review of Policy
This policy will be reviewed annually or sooner if:
- Legislation changes
- A safeguarding incident occurs
- Best practice guidance is updated
